Overview

Legal Personal Assistant Opportunities - Dublin (small and large law firms)

We are seeking Legal PA's, at all levels, for global and domestic law firms in Dublin. Roles will offer hybrid working and competitive benefits.


    • Provide executive-level administrative support to senior leaders, anticipating their needs in a timely fashion, enabling them to focus on key fee earning and management activity.

    • Provide executive level administrative support;

    • Monitor and manage partner emails and calendars, coinciding with the thorough planning of meetings and events across multiple time zones.

    • Proactively manage and optimise executive schedules in accordance with business priorities.

    • Extensive travel management including the preparation of client reports and travel packs for all trips and client interaction.

    • Pro-actively manage all data associated with the partner/executive, entering and amending information as and when required for business development purposes on the firm's internal CRM system.

    • Compile business development documentation for new client meetings e.g. research, client bios and company information.

    • Serve as a point of contact for internal and external stakeholders, handling enquiries on behalf of partner/executive.

    • Handle sensitive and confidential information with professionalism and discretion.

    • Build and maintain strong working relationships across teams and departments.

    • Manage the monthly billing processes to include time allocation and invoice preparation (commercial billing experience is essential).

    • Manage all expenses, ensuring submissions are made on time and with the highest level of accuracy.

    • Work with the full Microsoft Office suite, updating presentations as and when requested and producing high quality documentation from hand-written drafts, following the relevant house style.

    • Support and cover the wider PA population within designated practice group.

    • Ad hoc duties, as and when requested.

    • Experience providing secretarial support to senior stakeholders.

    • Highly organised with the ability to manage high volumes and work, re-prioritising as and when required.

    • Uses initiative to problem solve, in a calm and methodical way.

    • Proven experience working with highly sensitive information in a discreet and confidential manner.

    • Well-developed IT skills, including proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook) and the ability to use them effectively to improve performance and communications.

    • Exceptional attention to detail and written/verbal communications skills.

    • Acts in a professional and assertive manner, displaying strong interpersonal abilities.

    • Proactive, resourceful and able to work both independently and collaboratively.
